Manager of Advancement Information Systems

Position Overview:

Reporting to the Director of Advancement Service, this position is responsible for basic database system modifications in response to departmental needs and day-to-day system integrity, including ongoing maintenance to ensure data integrity. In addition, this position is also responsible for overall maintenance of The Raiser’s Edge database, providing in-house expertise and technical support, training new users and managing security.  The position also serves as liaison between the Chief Information Officer and the Office of Advancement.

RESPONSIBILITIES: include, but not limited to:

Maintain the CalArts Donor and Alumni database:

  • Supervise the data entry process to ensure that accurate and relevant information on alumni, donors, prospects and other CalArts constituents is maintained.
  • Perform regular data cleanup based on established database standards and procedures.
  • Coordinate database updates aftergraduation.
  • Administer a fully integrated donor and prospect management system for individuals, corporations and foundations.
  • Provide data management for special events and cultivation activities.
  • Participate in planning and execution of future upgrades and technology enhancements and serve as liaison with CalArts’ Manager of Network Services.

Respond to data and reporting needs from Development and Alumni Services:

  • Design and implement database queries and data exports in response to requests for information, providing timely and accurate records and reports.
  • Utilize reporting tools to design custom reports, templates, forms and donor correspondence.

 

Manage the institute’s Gift Processing:

  • Coordinate with the gift coordinator to ensure that gifts to the Institute are properly processed, acknowledged and archived.
  • Work closely with Controller to reconcile database and general ledger, preparing documentation and support for annual audit process.
  • Coordinate prospect and donor information from all sources within the department and its proper documentation in database.

Provide user support and training:

  • Provide documentation for department procedures manual and train staff on procedures when needed
  • Develop database standards and procedures where necessary.
  • Provide prospect management support and guidance to other areas of the department.

REQUIREMENTS:

  • Working knowledge of the basics of fundraising with a minimum of 2 to 3 years experience in professional development office.
  • Minimum two years experience with The Raiser’s Edge.
  • Strong familiarity with SQL, Crystal Reports and other relational databases.
  • Advanced Microsoft experience.
  • Ability to work quickly and accurately, with attention to detail a must.
  • Understanding of basic accounting principles.
  • Ability to work well with and provide training for people with a range of experience and expertise.
  • Excellent organizational and communication skills, as well as the ability to work both independently and as part of a team.
  • Flexibility, initiative and self-motivation.
  • Ability to maintain a high level of confidentiality.
  • B.A. or equivalent experience
